Our Implementation Methodology

A successful ERP implementation is as much about process and people as it is about technology. We follow a structured, collaborative approach designed to minimise disruption to your business and maximise adoption by your team.

Phase 1 — Discovery and Scoping

We start by understanding your business deeply before touching any configuration. This phase includes:

  • Process mapping — we document your current workflows: how orders are placed, how stock moves, how invoices are raised and reconciled.
  • Gap analysis — we identify where standard Odoo fits your process and where customisation or workarounds are needed.
  • Module selection — we recommend the specific Odoo modules that cover your requirements without unnecessary complexity.
  • Project plan — a detailed timeline with milestones, responsibilities, and delivery dates.

Phase 2 — Configuration and Customisation

With a clear scope, our team configures Odoo:

  • Chart of accounts, tax rules, currencies, and company settings
  • Product categories, units of measure, and pricelists
  • Sales and purchase workflows, approval rules, and document templates
  • Inventory locations, warehouses, and picking strategies
  • Any custom module development required for non-standard workflows

Phase 3 — Data Migration

We extract your historical data, clean and transform it, and load it into the configured Odoo environment:

  • Customer and vendor master data
  • Product catalogue with variants, prices, and stock levels
  • Open invoices, purchase orders, and inventory balances
  • Historical transactions (scope determined by business need)

We validate migrated data thoroughly before moving to testing.

Phase 4 — User Acceptance Testing

Your team tests the configured system against real business scenarios. We run guided UAT sessions, track issues, and resolve them before go-live.

Phase 5 — Training

We run role-based training sessions for every user group — warehouse staff, sales team, accountants, managers. Sessions are practical, using your own data and configured workflows.

Phase 6 — Go-Live and Hypercare

We support the go-live cutover and remain closely available for the first weeks of live operation — the “hypercare” period — to handle questions, fix edge-case issues, and ensure confidence builds across the team.

Phase 7 — Ongoing Support

After hypercare, we transition to a standard support arrangement with defined response times. As your business evolves, we add modules, refine configurations, and handle Odoo version upgrades.
